# WhatsApp Template Rejected? Common Reasons and How to Fix Them

> WhatsApp templates are usually rejected for fixable reasons: badly formatted or misplaced variables, missing sample values, a duplicate of an existing template, threatening or spam-like wording, requests for sensitive data, or products WhatsApp's commerce rules prohibit. Fix the cause, add samples, and resubmit or appeal; Meta decides within 24 hours.

- Most rejections are formatting: variables at the start or end, gaps like {{1}} then {{3}}, or too many variables for a short text.
- Every variable needs a realistic sample value, and media headers need a sample file.
- A body and footer identical to an existing template is rejected as a duplicate.
- Threats of legal action or public shaming are rejected, which matters for COD refusal messages.
- Since April 2025, a promotional template submitted as utility is approved as marketing rather than rejected.

It is the Thursday before an Eid sale. The offer template has to go out on Saturday morning, and Meta has just rejected it. The email says something about "parameters". Nobody on the team knows what that means, and the second attempt gets rejected too.

Template rejections feel random, but almost all of them come from a short list of causes. This guide goes through each one, shows the fix with before-and-after examples, and ends with a checklist you can run before every submission.

## Why does Meta reject WhatsApp templates?

Meta rejects a WhatsApp [message template](https://salemag.net/glossary/message-template) when it breaks a formatting rule or a policy rule. Formatting causes are the most common and the easiest to fix. Policy causes need a change in what you say or sell.

| Reason | Type | Quick fix |
|---|---|---|
| Variable at the start or end of the text | Formatting | Add words before and after |
| Variables out of order or with gaps | Formatting | Number them {{1}}, {{2}}, {{3}} |
| Broken curly braces or special characters in a variable | Formatting | Use exactly {{1}} or {{first_name}} |
| Too many variables for the message length | Formatting | Fewer variables or more fixed text |
| No sample values or sample media | Formatting | Add a realistic sample for each |
| Same body and footer as an existing template | Duplicate | Change the wording or reuse the old one |
| Threats, shaming or abusive tone | Policy | Neutral, polite wording |
| Spam or scam-like content | Policy | Clear sender, clear purpose, no bait |
| Requests for full NID, card or account numbers | Policy | Ask only for partial identifiers, or nothing |
| Product prohibited by WhatsApp's commerce rules | Policy | You cannot fix this with wording |
| Category clearly wrong, for example a code outside authentication | Category | Move OTPs to an authentication template |

## How do you fix variable and formatting errors?

Fix variable errors by numbering variables in order, keeping them inside fixed text, and giving each one a sample. Meta's template review rules state that a template cannot start or end with a variable, numbering must be sequential with no gaps, and a variable placeholder cannot contain characters such as #, $ or %.

**Before (rejected):**

```
{{1}}, your order {{3}} is confirmed. Total {{2}}
```

Three problems: it starts with a variable, it ends with a variable, and the numbers are out of order.

**After (approved):**

```
Hi {{1}}, your order {{2}} is confirmed. Total ৳{{3}}, cash on delivery. Reply here if anything needs to change.
```

Also watch the ratio of variables to text. A template like "{{1}} {{2}} {{3}} {{4}}" with three fixed words looks like a way to send anything. Meta asks for fewer variables or a longer message.

### Why do sample values matter?

Every variable needs a sample value when you submit, and a media header needs a sample image, video or document. Reviewers judge the template with the samples filled in. Make them realistic: "Nusrat" and "CH-000123", not "test" and "xxx".

## Why was my template rejected as a duplicate?

Meta rejects a new template if its body and footer match an existing template on your account. The rejection notice names the existing template and its language.

This happens when a team member submits the same Eid offer again instead of reusing last month's template, or when you try to create a second copy with a different name. Use the approved one, or change the wording. Authentication templates are exempt from this check.

## Which wording gets templates rejected?

Wording is rejected when it threatens, shames, looks like spam or asks for sensitive data. Two cases come up often with Bangladeshi shops.

### Messages to customers who refused a parcel

Sellers who lost money on a refused COD parcel sometimes write angry follow-ups. Meta rejects templates that threaten legal action or public shaming.

**Rejected:**

> {{1}}, you refused our parcel {{2}}. Pay the delivery charge or we will take legal action and post your name on our page.

**Approved:**

> Hello {{1}}, our courier could not deliver order {{2}}. If you still want it, reply here and we will arrange a new delivery time.

The second version is also more likely to recover the sale. Better still, stop refusals before they happen; see [how to cut parcel returns](https://salemag.net/blog/reduce-parcel-returns-rto).

### Asking for identity documents

Do not ask for full NID numbers, full card or bank account numbers, or photos of documents that contain them, in a template. Partial identifiers, such as the last four digits of a number, are allowed.

## Which products cannot be promoted in templates?

Templates about goods and services must follow WhatsApp's commerce rules, which are part of the [WhatsApp Business Messaging Policy](https://business.whatsapp.com/policy). The policy prohibits whole categories, including firearms, alcohol and tobacco, drugs, medical and healthcare products, adult products and services, real-money gambling, dating services and multi-level marketing, among others.

No wording change fixes a prohibited product. If you sell, for example, medicines or health products, read the policy carefully before you build your marketing around WhatsApp templates. The same policy also covers opt-in and everything else you send.

## What happens if you pick the wrong category?

If you submit a promotional template as utility, Meta now approves it as marketing instead of rejecting it. This has been the default since 9 April 2025. The template works, but it is billed and delivered as marketing.

Templates that send verification codes are different: codes belong in authentication templates only, and marketing or utility templates carrying codes are rejected. For how the three categories work, read [WhatsApp template categories explained](https://salemag.net/blog/whatsapp-template-categories).

## Why are Bangla templates rejected?

A Bangla template is usually rejected for the same reasons as any other template, plus one specific mistake: the language code does not match the text. Meta does not translate templates, so text in Bangla needs Bengali as the template language.

Other tips for Bangla templates:

- Write in one script. A body that switches between Bangla and Banglish mid-sentence reads like spam.
- Keep Bengali digits or Latin digits consistent across the template.
- Create separate Bangla and English versions rather than one mixed template.

## How do you appeal a rejected template?

To appeal, edit the template in WhatsApp Manager, add samples, and submit it again, or request a review from Business Support Home. Meta's steps:

1. In WhatsApp Manager, open **Account tools**, then **Message templates**.
2. Click the rejected template.
3. Edit the content to address the reason.
4. Click **Add Sample** and add sample values and images.
5. Click **Submit**.

Meta decides appeals within 24 hours. If an approved template was later disabled, you can edit and resubmit it. Rejection details are also emailed to your Meta Business admins and listed under Rejected message templates in Business Support Home.

## What should you check before submitting a template?

Run this checklist before every submission. It catches nearly every formatting and policy issue covered above:

| Check | Yes? |
|---|---|
| Text starts and ends with fixed words, not a variable | |
| Variables numbered in order with no gaps | |
| Each variable and media header has a realistic sample | |
| Not a copy of an existing template | |
| Category matches the purpose; no promotion in utility | |
| Language code matches the text | |
| No threats, shaming or pressure | |
| No request for full ID, card or account numbers | |
| Product allowed by WhatsApp's commerce rules | |

Submit seasonal templates at least a few days early. A rejection on Thursday is a small problem if the sale starts next week.

## How does SaleMag help with template approval?

SaleMag lets you write a template with header, body, footer, variables and up to 10 buttons, set the language, and submit it to Meta in one click. The status updates automatically from Meta (pending, approved, rejected or paused), and the rejection reason is stored next to the template so you can edit and resubmit without opening WhatsApp Manager. Only approved templates can be used in [WhatsApp broadcast](https://salemag.net/features/whatsapp-broadcast) campaigns.

SaleMag does not review or guarantee approval; Meta does.

## Next steps

Take your last rejected template and run it through the checklist above. Fix the variables first, then the wording. To draft, submit and track templates from one place, [start free with SaleMag](https://salemag.net/register) or [see pricing](https://salemag.net/pricing).

## Steps

1. **Read the rejection reason**: Check the reason in WhatsApp Manager, the rejection email or your provider's template list.
2. **Fix variables and samples**: Number variables in sequence, keep them away from the start and end, and add a sample for each.
3. **Check category and language**: Make sure the category matches the purpose and the language code matches the text.
4. **Check wording and policy**: Remove threats, spam-like phrases and requests for sensitive data, and confirm the product is allowed.
5. **Resubmit or appeal**: Submit the edited template as new, or appeal in WhatsApp Manager with samples added.

## FAQ

### How long does WhatsApp template approval take?

Meta says a template review decision can take up to 24 hours, and many are decided much faster. Appeals are also decided within 24 hours.

### Why was my utility template approved as marketing?

Meta judged the content to be promotional. Since 9 April 2025, a template submitted as utility that Meta considers marketing is approved as marketing instead of being rejected. Remove the promotional part and submit a new utility template if the message is really an order update.

### Can I appeal a rejected WhatsApp template?

Yes. Open the template in WhatsApp Manager, edit it, add sample values and images with Add Sample, and submit it again, or request a review through Business Support Home. Meta decides appeals within 24 hours.

### Can a WhatsApp template start with a variable?

No. A WhatsApp template cannot start or end with a variable. Put a word or greeting before the first variable and a closing sentence after the last one.

### Why is a template in Bangla rejected?

A Bangla template is often rejected because its language was set to English, or for the same formatting and policy reasons as any template. Meta does not translate templates, so set the language to Bengali when the text is in Bangla.

### Can I ask customers for their NID number in a template?

No. WhatsApp templates must not request full national ID numbers, full card or bank account numbers, or documents likely to contain them. Partial identifiers, such as the last four digits, are allowed.

### Does SaleMag show why a template was rejected?

Yes. SaleMag stores the rejection reason Meta returns, shows it with the template, and lets you edit and resubmit from the same screen.
