Order status updates on WhatsApp: templates that get approved

Copy-ready WhatsApp order status templates in Bangla and English, from confirmation to delivery, plus the utility rules that get them approved and the cost.

By SaleMag Team6 min read

A customer orders a ৳2,200 saree on Sunday night. Monday passes with no message. Tuesday too. On Wednesday the rider calls, and she says "ami to bhabsilam order cancel hoye gese" and refuses the parcel. You pay the delivery charge both ways for a sale you already had.

A two-line WhatsApp message on Monday morning would probably have saved it. Order status updates are one of the cheapest ways a cash-on-delivery shop can cut refusals, but they only work if Meta approves the templates and they reach the customer at the right moment. This guide gives you templates that are built to pass, in Bangla and English, and the rules behind them.

Which order status updates should a COD shop send?

A COD shop should send an update at each point where the customer might otherwise wonder what is happening: when the order is confirmed, when it is handed to the courier, and when something goes wrong. The table shows a lean set.

Status When to send Category Needed?
Order confirmed After your team checks the order Utility Yes
Handed to courier The day the parcel leaves Utility Yes
Delivery delayed When a parcel misses its usual time Utility When it happens
Order cancelled When you or the customer cancels Utility When it happens
Delivered, feedback A day after delivery Utility (if no promotion) Optional

Four messages cover nearly everything. More than that, and customers start muting you. If returns are your biggest cost, these updates pair well with the steps in our guide to cutting parcel returns.

What makes an order update a utility template?

An order update is a utility message when it is about a specific order the customer placed, is triggered by that order, and contains nothing promotional. Meta's template guidelines put "confirm, update, or cancel an order or transaction" under utility and say utility templates must be non-promotional.

Meta also says templates with mixed content, such as "an order update with a promo", count as marketing. Meta reviews approved templates on a recurring basis and can move one to marketing if it does not fit the utility guidelines, with a short notice and a window to appeal. So a template that passes once can still be recategorised later if someone edits it into a sales message.

What keeps it utility:

  • The order number in the text.
  • Facts about this order: total, delivery area, status, tracking.
  • A button that serves the order: "Track parcel", "Call us", "Change address".

What turns it into marketing:

  • A discount code, even "for your next order".
  • "Check out our new collection" or a link to a sale page.
  • Product recommendations or "you may also like".

What do approvable order status templates look like?

Approvable templates are short, start and end with fixed text, name the order and do one job. Below are four you can adapt. Variables are numbered the way Meta's template editor shows them.

Order confirmed

Hi {{1}}, your order {{2}} is confirmed.
Total: ৳{{3}}, cash on delivery.
Reply in this chat if anything needs to change.

Handed to courier

[Track parcel]

That second one has a problem: the body starts with a variable. Fix it with fixed words first: "প্রিয় {{1}}, আপনার অর্ডার..." The same applies to endings. "...delivered by {{4}}" ending on a variable is a common rejection; add "Thank you." after it.

Delivery delayed

Dear {{1}}, sorry, your order {{2}} is running late because of {{3}}.
We expect it to reach you by {{4}}. Reply here if you have any questions.

Order cancelled

Hi {{1}}, your order {{2}} has been cancelled as requested.
If this is a mistake, reply in this chat and we will help.

Notice what is not there: no "20% off next time", no "see new arrivals". Save those for a separate marketing template sent to opted-in customers.

Why do order update templates get rejected?

Order update templates usually get rejected for formatting problems or because they read as promotional. The common causes and fixes:

Rejection cause Example Fix
Variable at the start or end "{{1}}, your order is ready" Put fixed text before and after
Too many variables, too little text "{{1}} {{2}} {{3}} {{4}}" Add fixed wording around each variable
Variables out of order {{1}}, {{2}}, {{5}} Number them in sequence
Promotional content "Use code EID10 on your next order" Remove it, or submit as marketing
Vague content "Update: {{1}}" Say what the update is about
Wrong language selected Bangla text submitted as English Choose Bengali for Bangla text

When Meta rejects a template, read the reason first. Our guide to WhatsApp template rejections goes through the reasons in more depth.

How much do WhatsApp order updates cost?

Meta charges per delivered template message, with the rate set by category and the recipient's country, and utility rates are lower than marketing rates. As of this post's publication in February 2026, a utility template sent inside an open customer service window was free, under the change Meta made on 1 July 2025.

Update, October 2026: from 1 October 2026, Meta charges for utility templates sent inside an open customer service window too. Service messages (normal replies inside the window) are free up to 1,000 per business phone number per month, then charged. Check Meta's pricing page for current rates.

To estimate your monthly cost:

Line Example
Orders per month 1,200
Updates per order 2 (confirmed, handed to courier)
Extra updates (delays, cancellations) about 150
Utility templates per month 2,550
Cost 2,550 x Meta's utility rate for Bangladesh

Compare that with the cost of returned parcels. If updates prevent even a handful of refused deliveries a month, they usually pay for themselves.

Do customers have to opt in to order updates?

Yes. WhatsApp's Business Messaging Policy requires opt-in for business-initiated messages, and order updates are no exception. The policy also says people should expect the messages they receive.

For most chat-based shops this is easy. A customer who ordered by messaging you on WhatsApp expects to hear about that order there. For orders from a website, add a line near the phone field: "আপনার অর্ডারের আপডেট আমরা WhatsApp-এ পাঠাব।"

How do I send order updates with SaleMag?

In SaleMag you write WhatsApp templates, choose utility and Bengali or English, submit them to Meta, and see when each is approved or rejected, with the reason. Approved templates can be sent from the shared inbox template picker or by an automation.

Order status messages are not sent by default. You build them in the automation flow builder on three order triggers: order placed, order fulfilled and order cancelled. Messages can use the order number, total, currency and tracking link as variables. For chat orders, marking an order fulfilled in SaleMag, with a tracking link if you have one, fires the fulfilled trigger. Synced Shopify, WooCommerce and BigCommerce orders fire the same triggers, but only Shopify fulfilments bring a tracking link. SaleMag does not connect to couriers, so "out for delivery" and "delayed" updates are sent by your team from the inbox when they know.

Next steps

Write your four templates today: confirmed, handed to courier, delayed and cancelled. Check each for a variable at the start or end, remove anything promotional, and submit them as utility. Once approved, send one to your own number and read it as a customer would. To send them automatically when orders change, start free with SaleMag or see pricing.

Step by step

  1. 1

    Pick the statuses

Choose which order statuses get a message, usually confirmed, shipped, delayed and cancelled.

  2. 2

    Write utility templates

Write one short template per status that names the order number and contains no offers or upsells.

  3. 3

    Check the variables

Make sure no variable starts or ends the body and each variable has fixed text around it.

  4. 4

    Submit and test

Submit each template as utility in the right language, then send a test to your own number once approved.

  5. 5

    Connect to your order process

Send each template when the order status changes, by hand from the inbox or with an automation.

Frequently asked questions

Which WhatsApp template category is an order status update?

An order status update is a utility template. Meta's utility category covers messages that confirm, update or cancel an order or transaction the customer started, as long as they contain no promotional content.

Why was my order update template categorised as marketing?

Meta treats a template as marketing when it mixes promotional content into a transactional update, such as a discount code, 'shop again' link or new arrivals in a shipping message. Remove the promotion and resubmit it as utility.

Can I send order updates in Bangla on WhatsApp?

Yes. Submit the template with Bengali as its language and write the text in Bangla. If you also serve English or Banglish customers, submit those as separate templates.

Do customers need to opt in to receive order updates?

Yes. WhatsApp's Business Messaging Policy requires opt-in for business-initiated messages, including order and delivery updates. A clear line on the order form, such as 'we will send order updates on WhatsApp', helps.

How much does a WhatsApp order update cost?

Meta charges per delivered utility template, at a rate set by the recipient's country. From 1 October 2026, utility templates are charged even inside an open customer service window; check Meta's current pricing page for rates.

Can I add a tracking link to a WhatsApp order update?

Yes. A URL button or a link in the body pointing to the courier's tracking page is normal for a shipping update. Keep it about this order, not a link to your shop's sale page.

How many order updates should I send per order?

Two to four updates per order is enough for most COD shops: confirmation, handed to courier, and a delay or cancellation message only when needed. Too many messages lead customers to mute or block you.
