WhatsApp lead qualification for real estate agents in Bangladesh

Which questions sort serious property buyers from browsers on WhatsApp, how to ask them without scaring people off, and how to route hot leads to a sales rep.

By SaleMag Team8 min read

A developer boosts a post for a new project in Aftabnagar on Thursday evening. By Friday noon there are 160 WhatsApp messages. Most say "price koto?" or "details plz". Maybe fifteen are from families who have a budget, want three bedrooms and plan to buy before the next school year.

The sales team has four people. If they answer messages in the order they arrived, the fifteen serious buyers wait behind the browsers, and some of them are already talking to another developer by the time a rep calls.

Lead qualification fixes the order. This guide covers which questions to ask, how to ask them in a chat without sounding like a bank form, how to sort the answers, and how to follow up when a buyer goes quiet.

What does lead qualification mean for a property enquiry?

Lead qualification is finding out, early and politely, whether an enquiry can buy, wants what you sell, and plans to buy soon. For a property agent, that means matching the buyer's budget, area and size to a project you have, and knowing their timeline.

It is not about rejecting people. A buyer who plans to purchase in two years is still worth keeping, just not worth your best rep's Friday afternoon. Qualification decides who gets a call today, who gets a brochure and a follow-up next month, and who only needed a price.

Which five questions sort serious buyers from browsers?

Five questions cover almost every property sale in Bangladesh: budget, area, size, timeline and purpose. More than that, and response rates drop.

Question Why it matters Easy answer format
Budget range Tells you which projects fit at all 1: under 80 lakh, 2: 80 lakh to 1.2 crore, 3: above 1.2 crore
Preferred area Matches them to a location you sell 1: Bashundhara, 2: Aftabnagar, 3: Uttara, 4: other
Unit size Filters by bedrooms or square feet 1: 2 bed, 2: 3 bed, 3: 4 bed or more
Timeline The strongest signal of urgency 1: within 3 months, 2: within a year, 3: just looking
Purpose Own use buyers ask different questions than investors 1: for my family, 2: investment or rent

Use your own budget bands and areas. The point is that each answer is a number, which is quick to type on a phone and easy to sort later.

Some agents add a sixth question about financing, such as a home loan. Ask it later in the conversation, from a person, because it can feel personal in a first chat.

How do you ask qualifying questions without losing the buyer?

Answer first, then ask one question at a time. A buyer who writes "3 bed er price koto?" and gets back "Please share your budget, area, size and timeline" feels processed, not helped.

A better first exchange looks like this (the project and price are made up):

Buyer: Aftabnagar project e 3 bed er price koto?

Reply: Aftabnagar Block C-te 3 bed (1,450 sqft) ache, dam 98 lakh theke shuru. Brochure pathalam. Apni kobe nagad kinte chacchen?

  1. 3 mash er moddhe
  2. 1 bochor er moddhe
  3. Ekhono dekhchi

The price question gets an answer from the current price list. The qualifying question rides on the back of a useful reply. When the buyer answers "1", the next question follows: budget, then purpose.

A few rules keep the questions friendly:

  • One question per message. Two questions in one message usually get one answer.
  • Numbers or buttons, not essays. "Reply 1, 2 or 3" works in Bangla, Banglish and English.
  • Give a way out. "Ekhono dekhchi" (just looking) is a valid answer. People who can pick it honestly do not ghost you.
  • Stop when a person takes over. Once a rep is in the chat, no more automated questions.

How do you score and route property leads?

Sort each lead by timeline first and budget fit second. A simple three-level system is enough for most agencies.

Level Rule What happens next
Hot Buying within 3 months, and budget fits a current project Assigned to a rep, who calls or replies within the hour
Warm Buying within a year, or budget fits but area is uncertain Brochure and price sheet now, a follow-up from the rep within a week
Nurture Just looking, or budget does not fit any current project Added to a list for launch news and open-house days, if they opt in

Route hot leads by area or project if each rep owns one. If your team is small, route by turn so nobody's queue fills up while another rep sits idle.

The score is only a starting point. A rep who talks to a "warm" buyer and hears "we sold our old flat last week" should move them up straight away.

What should happen when a buyer asks for a site visit?

Treat a site-visit request as the hottest signal you get and hand it to a person immediately. The rep should confirm a day and time in the chat, send the location pin and the name of the person meeting them, and remind them the day before.

Assalamu alaikum, Rahim bhai. Shonibar bikel 4 tay Aftabnagar Block C site e apnar visit confirm. Amader Karim bhai apnake receive korben, phone 01XXXXXXXXX. Location pathalam.

Keep a record of who requested a visit, who visited and who booked. Without it, the sales manager cannot see which campaigns bring buyers and which only bring questions.

How do you follow up with property leads on WhatsApp?

Follow up inside the 24-hour window whenever you can, because any message is allowed then. Once 24 hours pass since the buyer's last message, WhatsApp only lets you send an approved message template.

A practical rhythm for a buyer who stops replying:

  1. Same day: a short free-text nudge, such as "Brochure ta dekhechen? Kono proshno thakle janaben."
  2. After 24 hours: a template with something new, such as an updated price sheet or an open-house date.
  3. After that: only when there is real news, like a new block or a handover update.

Launch and offer messages count as marketing templates, which should go only to contacts who opted in. Messages about a booking the buyer already made, like an instalment date, are usually utility templates. Meta decides the final category when it reviews the template.

Where does a WhatsApp lead come from, and does it matter?

It matters, because the source changes what the buyer already knows. Someone who tapped a Click-to-WhatsApp ad for a Bashundhara project has seen the project; someone who found your number on a signboard has not.

A simple trick: put a project keyword in the ad's prefilled message, such as "BASHUNDHARA-C". Your flow can start on that keyword and ask the right questions for that project. Our Click-to-WhatsApp ads guide covers how prefilled messages work.

How does SaleMag handle real estate lead qualification?

SaleMag splits the job between an AI chatbot and an automation flow. The AI chatbot answers project, price and handover questions from the brochures and price lists you upload, in Bangla, Banglish or English. It does not fill in contact fields or tag buyers by itself.

The qualifying questions run in the automation flow builder. A typical flow:

  1. Trigger: a keyword such as "3 bed", "visit" or your ad's project keyword.
  2. Assign: give the chat to a rep. Once a chat is assigned to a person, the AI stops replying there.
  3. Ask: budget, area, size and timeline, each saved to a flow variable.
  4. Update contact: write the answers to contact fields such as Budget and Timeline.
  5. Condition and tag: if the timeline answer is "1", add a tag like "hot: 3 months" or assign a senior rep.

Reps track stages with tags such as "site visit requested" and "booked". SaleMag has no site-visit calendar, so reps confirm visit times themselves. The Leads pipeline board in SaleMag is for prospects from its Google Places lead finder, not chat enquiries. The real estate page and the AI lead qualification agent page show the full setup.

What mistakes make WhatsApp qualification fail?

Most failures come from asking too much, too early, or from leaving hot leads unrouted.

  • Questions before answers. Always answer the buyer's question first.
  • Old price lists. A chatbot repeats whatever file you gave it. Replace the file the day prices change.
  • No owner for hot leads. If a "hot" tag does not put the chat in someone's queue, it is just a label.
  • Bot and human talking at once. Make sure automation stops once a rep replies. For more on this, read our chatbot to human handover guide.
  • Promising discounts in chat. Leave negotiation to people. Tell the bot to hand over every discount question.

Next steps

Write your five questions with numbered answers this week, using your own budget bands and areas. Test them on five colleagues by WhatsApp before any buyer sees them. Then build the flow, load your current price lists, and start free or see pricing.

Step by step

  1. 1

    Write the five questions

Decide the budget bands, areas and unit sizes you sell, and turn each question into numbered options.

  2. 2

    Load your project material

Put brochures, price lists, payment terms and directions into the chatbot's knowledge base so first answers are correct.

  3. 3

    Build the qualification flow

Trigger on a keyword, assign the chat, ask each question, save each answer to a contact field, then tag and route by timeline.

  4. 4

    Set the follow-up rules

Follow up within 24 hours in free text, and prepare approved templates for buyers who go quiet longer.

Frequently asked questions

What questions should a real estate agent ask a WhatsApp lead?

Ask five things: budget range, preferred area, unit size or number of bedrooms, when they plan to buy, and whether the flat is for their own family or an investment. Those answers tell a rep who to call first.

Should a property chatbot ask qualifying questions in the first reply?

No. Answer the buyer's own question first, such as the price or handover date, then ask one qualifying question at a time. Buyers who get a list of questions before any answer often stop replying.

Can an AI chatbot qualify property leads by itself?

Partly. An AI chatbot can answer project questions from your brochures, but in SaleMag the qualifying questions, the saved answers and the tags are handled by an automation flow, so the rules stay visible and under your control.

How fast should a real estate agent reply to a WhatsApp enquiry?

As fast as you can, ideally within minutes for the first answer and within the hour for a call to a hot lead. Ad-driven enquiries often message several developers at once, so the first useful reply has an advantage.

Can I message a property lead on WhatsApp after 24 hours?

Yes, but only with a Meta-approved message template. Free-form messages are allowed only within 24 hours of the buyer's last message, and promotional templates should go only to people who opted in.

Can SaleMag book site visits for property buyers?

No. SaleMag has no site-visit calendar or slot booking. A flow can record the request and assign the chat to a rep, who confirms the day and time with the buyer.
